Novacoast’s All Hands Meeting and Evening Events
Attendance and Eligibility

All employees, with the exception of the following positions/classifications, are required to attend the All Hands Meeting:

Help Desk

SOC Analyst I

SOC Specialist

Any SOC resource who is placed permanently on-site with a SOC customer (your supervisor will notify you if applicable)

Employees must be employed full time for at least two (2) years as of December 31, 2019 in order to bring a guest to All Hands at Novacoast’s expense. Employees who have not met the full time service requirement may elect to bring a guest at their own expense (see “Guests and Minors” section for details).

SPECIAL CIRCUMSTANCE: If you were eligible to bring a guest to All Hands 2019, you may bring a guest to All Hands 2021.

All eligible Novacoast employees must be on-site at the Hilton Universal Hollywood for lunch on Wednesday, January 7th through 5:30pm Friday evening, January 9th.

SPECIAL CIRCUMSTANCE: Finance department employees must be on-site at the Hilton Universal Hollywood for dinner on Thursday, January 8th through 5:30pm on Friday, January 9th.

No vacations will be approved for time off during the All Hands Meeting for any employee, regardless of eligibility status.
Airfare
-
Novacoast will cover the cost for one (1) roundtrip ticket from your home city. Novacoast will not cover open jaw airfares with multiple destinations, except in the case where you are coming directly from a client to the meeting or need to go directly to a client after the meeting.

Novacoast will cover the cost for one (1) roundtrip ticket for each eligible full time employee’s guest from the employee’s home city. Novacoast will not cover open jaw airfares with multiple destinations for guests. All guests who travel on a ticket purchased by Novacoast are required to attend the evening events. Your guest does not need to travel with you. We will coordinate flights that work for your guest’s schedule.

If Novacoast purchases guest airfare and your guest does not attend the evening events with you, you will be charged for their airfare via payroll deduction.

If Novacoast purchases a ticket for your hosted guest and you cancel for any reason (change of plans, termination/separation from company, etc.), the amount of your guests ticket will be deducted from your paycheck. Airline tickets are non-transferable.

Novacoast does not cover airfare for guests of Southern California employees.

Guest travel requiring airfare must be requested by the close of the registration period. Requests to add a guest that does not require airfare will be accepted no later than three (3) weeks before the event.

Employees are responsible for any fare difference and penalty in the event they wish to change their or their guests itinerary. Novacoast will only cover the fare change fee and associated penalty if the itinerary change is work related.

Airfare will be arranged so you arrive in time for your first scheduled meeting or obligation. You may need to travel the day before to ensure an on-time arrival.

Extending your stay or planning to come early? Novacoast will coordinate travel that fits your schedule. If the dates you plan to travel make the airfare higher than our meeting dates, you will be responsible for the fare difference.

Pursuant to IRS Code Section 61, all guest airfare is considered non-cash compensation. The associated dollar value for your guest’s airfare will be included on your year-end tax form and shall be treated as taxable earnings.
Ground Transportation/Parking and Car Rental for Non-SoCal Employees

Flights will be arranged into Burbank/Bob Hope Airport (BUR) or Los Angeles International Airport (LAX). Novacoast will provide ground transportation to and from the airport. Shuttle service is only provided to/from the Hilton Universal Hollywood Hotel.

Novacoast will not provide shuttle service to or from the airport if you arrive early, depart late or change hotels.

All transportation during the event to/from Novacoast selected off-site venues is included.
-
Taking non-Novacoast arranged transportation to or from the airport/hotel or any other destination during All Hands will be at your own expense.

Novacoast can arrange a car rental for this event if you would like. Car rental charges and fees, including parking, will be your responsibility. Self parking at the Hilton Universal Hollywood Hotel is not included.
Travel for SoCal Employees
The following guidelines apply for travel to All Hands for Southern California based employees who are required to be on-site beginning Wednesday, January 7th:
Employees assigned to the Santa Barbara Office Area (the “Santa Barbara Office Area” includes all employees who live between Camarillo, CA and Santa Maria, CA)
Option 1. You and your guest can ride the free shuttle from the Santa Barbara office. The shuttle will depart from the Santa Barbara office on the morning of Wednesday, January 7th and return on Saturday, January 10th. The shuttle will also stop in Ventura County to pick up Ventura County employees.
or
Option 2. You can drive yourself and your guest to the event and Novacoast will cover the cost of self parking from Wednesday, January 7th through Saturday, January 10th. Mileage will not be reimbursed.
Southern California Employees outside of the Santa Barbara Office Area
Option 1. You can drive yourself and your guest to the event and Novacoast will cover the cost of parking from Wednesday, January 7th through Saturday, January 10th. You will also be reimbursed mileage to and from the event.
or
Option 2. You can Uber/Lyft from your home to the Hilton Universal Hollywood Hotel. Novacoast will reimburse you for the ride cost.
Travel Expenses
Expenses eligible for reimbursement:

Long-Term airport parking (not hourly lot)

Ground transfer services to/from airport to home (in lieu of long term parking)

Parking is not covered for your guest in the event you do not travel on the same itinerary to/from the event
Expenses NOT eligible for reimbursement include but are not limited to the following:

Checked bag fees

Meals while traveling

Upgraded airline seating charges

Guest mileage to/from the airport
Hotel

The hotel is the Hilton Universal City/Los Angeles Area - 555 Universal Hollywood Dr, Universal City, CA 91608, United States.

Novacoast will cover the cost of your room for the nights you are required to be on site. Generally this is:

Tuesday - Executive Team and All Hands Planning Team

Wednesday, Thursday and Friday - All Employees (excluding finance department)

Thursday and Friday – Finance department employees
-
You may add additional nights on at your expense for $185 nt + tax.
Internet Access

In-room internet access is included during your stay on our meeting dates. Wireless internet access is also included in the meeting space.

Thursday

Breakfast buffet for Novacoast employees at meeting space.

Coffee/tea/water and light snacks will be available in the meeting rooms throughout the day.

Meals - Evening
All employees are automatically added to our evening event attendee list. If you choose to not attend the evening event, please contact Human Resources.

Wednesday night dinner is included for all employees and attending guests. Dinner will be at Universal City Walk. No transportation is provided since this is walking distance.

Thursday night is our Annual Awards Dinner. Novacoast will provide dinner for you and your guest. The Awards Dinner will take place at Universal Studios Hollywood.

Dinner at the Kick off the New Year Party and Casino Night, Hilton Universal City.
Friday Tour info for Spouses and Guests

Guests and Minors
-
Though Novacoast is a family friendly company, the meetings, lunches and evening events are not for children.
-
Novacoast will only pay for eligible full time employee’s adult guest to attend -- NO minors please.

Minors are NOT permitted at any of the company All Hands Meetings, breakfasts, lunches, Kick Off dinners, parties or other events.

If you choose to bring your children with you they must have supervision while you are working. The meetings are "work days" and Novacoast will not be responsible for unattended minors. Novacoast does not provide babysitting services at any time during the event. Please arrange babysitting prior to the event so your guest can attend the evening events with you.

Employees who are not eligible for a hosted guest may purchase Guest Passes for their guest to attend the below events:

Wednesday Night -- $95 per guest

Thursday night -- $195 per guest

Friday Warner Bros Studio Tour -- $100 per guest

Friday night -- $195 per guest

If you bring an adult guest, you will be responsible for all other charges including but not limited to: airfare, transfers, tours, hotel charges and surcharges.

An ineligible Novacoast employee may not attend All Hands as a guest. Please refer to the Attendance and Eligibility section for eligibility information.
Dress Code
-
Dress for all of the Novacoast meetings is business casual. Men may choose slacks and a collared shirt. Jackets and ties are not necessary. Women may choose blouses with skirts/or slacks. No t-shirts/shorts/jeans.

Detailed dress code for each evening event is listed with each specific event.

PLEASE NOTE: Do not travel to All Hands in casual clothing. Rooms may not be ready for check-in until after the meetings on Wednesday.
